Office Assistant

The Human Resources Department announces the position of Office Assistant reporting to the Director, Counseling Center.

Responsibilities include: serves as the primary administrative support for the Director; greets all visitors to the Counseling Center in a professional, friendly, and timely manner; maintains a welcoming, friendly, and orderly environment in the Counseling Center waiting area for all visitors, including engaging them during their wait times; answers/screens phone calls in a prompt and courteous fashion; routes calls appropriately or conveys accurate and timely messages; makes prompt and appropriate judgments using discretion and sensitivity when responding to inquiries and requests; coordinates meetings and requests for appointments with Counseling Center staff; assists the Outreach and Crisis Counselor with events and trainings; manages work-study students in the Center, including completion of appropriate paperwork for student payroll; inputs and manages counseling center data statistics on counseling appointments, events, and services; coordinates the collection, data entry, and annual reporting of the Counseling Center database; creates and maintains an orderly filing system to meet the needs of the Counseling Center; assists in composing and/or editing routine correspondence and reports; assists in writing the Center's annual report; prepares purchase orders, check requests, and other University forms; assists with monitoring department budget; maintains and orders office supplies; sorts and distributes incoming mail; answers general inquiries; participates in weekly staff meetings; updates and maintains department website; and performs other duties as assigned.


  • High School Degree/diploma required; Associate's Degree preferred.

  • 3-5 years of previous office experience required, preferably in a health services office and/or higher education setting.

  • Strong understanding and commitment to confidentiality.

  • Ability to work independently and collaboratively handling multiple priorities; professionalism and good customer relations skills; student focused.

  • Comfort in interacting with students in various states of distress.

  • Working knowledge of Microsoft Office packages; willingness to develop computer skills, adjust to other updated technology and grow professionally as required.

  • Detail oriented with strong organizational and communication skills; ability to multi-task.

  • Excellent grammar, spelling and typing skills; ability to learn new programming and database concepts quickly.
