Administrative Coordinator

The Human Resources Department announces the position of Administrative Coordinator reporting to the Dean of the School of Business (SBUS).

This position works independently performing coordination and administrative duties for the Dean's Office. Responsibilities include: establish, monitor, upload and maintain accreditation related records and documents; prepare data tables for various reports; organize accreditation related meetings; gather, assemble, and maintain data related to the operations of the Dean's office; develop and maintain an electronic School newsletter and webpage; develop spreadsheets and reports; establish a system for monitoring faculty, student and staff records;  establish and monitor curricular approvals and system for monitoring approval process; develop and maintain a various databases for faculty course research reductions, summer fellowships, research reports, faculty merits and promotions and annual faculty reports, strategic plan action items, fundraising, grant proposals and awards, faculty committees, etc.;  maintain  records and documents related to the strategic plan; create and maintain student engaged learning activities; distribute announcements; organize convocations, retreats, workshops, meetings, etc.; review correspondence and make decisions when writing appropriate responses to handle requests; maintain copies of students' records; responsible for SBUS electronic signage; assist with design of complex charts, slides, and presentations; troubleshoot software and graphics problems; assist with hiring of graduate research assistants and work study students; compile various budget requests/revisions, monitor line items and print reports; work collaboratively to assure a smooth administrative operation; develop spreadsheets and reports for administrative purposes; access, analyze, and interpret data; maintain schedules for the Dean and Associate Deans; maintain all files/record-keeping for the Dean's Office; coordinate the SBUS e-mail, social media and other electronic accounts; answer telephones, record messages, screen, direct calls  and respond to inquiries for the Dean's Office; make travel arrangements and process expense reports for the Dean; open and distribute mail; order and maintain office supplies; and perform related responsibilities as requested.

Requirements:

  • Associate's degree required; Bachelor's preferred; 3-5 years of progressively responsible office administration experience, preferably in higher education.
  • Excellent interpersonal and communication skills; ability to make independent judgments; attention to detail; ability to appropriately handle sensitive and confidential information.

  • Proficiency with Microsoft Office software packages, including Word, Excel and PowerPoint; familiarity with Oracle preferred. A willingness to develop additional computer skills and grow academically as needed; excellent typing, editing and proofreading skills.

  • Ability to learn new technologies and adjust to changes in technology; ability to perform basic research.

  • Ability to work independently and collaboratively on various projects simultaneously while handling daily administrative tasks.

  • Ability to write well, edit submissions and develop publications for both internal and external constituents.
