SGASADD - Student Attribute and Cohort Maintenance

From the Banner Application Navigator "AppNav", enter SGASADD and click the screen name if it is displayed in the drop down as you type, or press "Enter".

SGASADD is the Banner page used to define and maintain student Attributes and Cohorts. With SGASADD, you can:

  • Find a student's Cohort (ex. FALFR2122) and/or Attributes (ex. ACC1-Accelerated/Integrated Program, HOND-Honors with distinction, ...).
  • Enter and maintain student Attributes and Cohorts.
  • There is an example and some additional helpful resource links at the bottom of this web page. The SGASADD screen can be tricky to understand and use. Please review these instructions and examples first, and if you still have questions, seek out others within the University that use this screen for help. It is important not to inadvertently remove or terminate student cohorts or attributes.

1. Enter the student's Banner ID in the ID field. If you do not know the Banner ID, press <tab> to move to the next field, and type the last name, a comma, and then first name of the person, <enter>. You can also click the 3 dots (...) next to the ID field to search by name (jump to step 1A below for more information on this functionality).

Press Enter or the 'Go' button on the right of the screen (You may see a confidentiality warning in the upper right corner if the person is an employee - press Enter to acknowledge the warning). Go to step 2 below.

1A. If you selected the 3 dots (...) to search by name, click the 'Person Search' link when prompted. That will display a method to search by person (example below):

1B. Enter the last name and/or first name. Note: It's important that the first letter of the first or last name be capitalized. You can use "wildcard characters" to search (ex. Morr%). When ready, click the 'Go' button on the right of the screen.

2. Your search results will be displayed. Double-click the ID of the appropriate student (or click 'Select' in the bottom right), and you will be returned to the initial SGASADD home screen when you will enter the appropriate Term, then click 'Go' in the upper right. Note: Select the row where the ID begins with 'R'. You may see other IDs for the same person due to the legacy data conversion, but select the row where ID = 'R0xxxxxxx'. 

Once you select the student to work with, and the associated Term you wish to add / begin tracking the Student Attribute(s) or Cohort(s), you will be presented with a screen similar to the below.

  • You will see the Term you selected on the top row next to the student ID / name.

Adding / Maintaining Cohort or Student Attribute Codes

1. If the student does not have any prior Cohort(s) or Attribute(s) defined, the rows will be blank and the To Term: will be 999999 (for ever). Similar to the example below. In this case, to add new Cohort(s) or Attribute(s):

  • Mouse click into the Cohort Code or Attribute Code fields.
  • Mouse click the 3 dots next to the field to display a list of values, and select the appropriate code from that list.
  • Note: The code 'From Term' will be the Term selected when entering this screen, and the Term that is displayed on the top of this screen next to the Student ID / name. The 'To Term' will default to '999999' which means no end (as long as the student is enrolled). This is correct Banner functionality.
  • Click 'Save' on the bottom right of the screen.

2. If the student has prior Cohort(s) or Attribute(s) defined, the row(s) will be populated similar to the example below.
    In this scenario, to add or end new Cohort(s) or Attribute(s):

  • Use the block navigation arrows on the bottom left of the screen (or mouse click) to navigate to the Student Cohort or Student Attribute block/area; which is the student code type that you want to change in some way for the given student:

  • Note: The Term you selected to work with (upper right next to the student ID / name) may be different than the 'From Term(s)' listed for the Cohort and/or Student Attribute code(s). This is correct.
  • Select (mouse click) the 'Maintenance' button - the Cohort and/or Student Attribute screen block must be selected/active for the 'Maintenance' button to be enabled (from the prior step).
  • Mouse clicking the 'Maintenance' button will display the following options:

     A. If you want to add a new cohort(s) or student attribute(s) and also keep the existing cohort(s) or attribute(s), select the 'Copy Student Attribute' option.
         Important: This will move or 'pull' the new and existing attributes / cohorts forward to the new term which is the desired result.
         
Otherwise go to option B below.

  • You may see a warning message such as this (top right) as some codes impact student tuition fees, click OK to continue or CANCEL to cancel this transaction:

  • On the main screen, you will then see the 'From Term' change to the Term you are working with (ex. 202180) and the Student Attribute(s) or Cohort(s) will be displayed. The 'To Term' will default to '999999' (end of time) which is OK/correct. The screen will be similar to the below.

  • To insert a new Cohort or Student Attribute code, click the [+]Insert button (upper right), which will create a new row on the screen, and enter/select the appropriate Cohort or Student Attribute Code (using the 3 dots to lookup).

      B. If you want to end cohort(s) or student attribute(s), click 'End Student Attribute'.

  • You may see a warning message such as this (top right) as some codes impact student tuition fees, click OK to continue or CANCEL to cancel this transaction:

  • On the main screen, you will then see the 'To Term' (ending term) change to the Term you are working with (ex. 202180) for the Student Attribute(s) or Cohort(s) you are ending. The 'From Term' will remain as the term that the Student Attribute(s) or Cohort(s) were established.

Always mouse click on 'Save' (bottom right) when complete to save your changes.

Helpful Example:

The student has one assigned attribute and was an athlete ATHL for Fall 2021 (202180). The student is no longer an athlete effective Spring 2022 (202210). Update the student’s record by ending the attribute. 

1. Enter the 202210 term code on the main screen and click 'Go'.

2. Click the Attribute field to get into the Student Attribute field / block.

3. Click on the From Term field to activate the Maintenance icon. 

4. Click on the icon and select “End Student Attribute”; 202210 will be entered / default in the To Term field. 

5. Click on the Save button. This will end the attribute in the 202210 term.

If the student has additional attributes (more than one) for the term – follow these instructions to maintain the continuance of the additional attributes listed: 

1. Enter 202210 in the term field on the main screen and click 'Go'. 

2. Click the Attribute field to get into the Student Attribute field / block. 

3. Click on the From Term field to activate the Maintenance icon. 

4. Click on the icon and select "Copy Student Attribute"

5. The From Term now indicates the same term as the main screen (202210) and the To Term is 999999 (end of time). 

6. Click on the row with the attribute to be ended and click on the Remove Record icon [-]Delete.

7. Click on the Save button.
